Grade 12 (Matric) / equivalent. Minimum of 3-5 years as Material Recording Clerk in Supply Chain Management environment. Skills: Leadership and team supervision, planning and organising, problem solving and decision making, communication ( verbal and written), attention to detail and accuracy, Computer skills (Microsoft package mainly MS excel). Ability to interpret and implement policies, directives, and guidelines . Must have the understanding and knowledge of Supply Chain Management and the following prescripts: PFMA, PPPFA, PPR 2022, Treasury Regulations, BBBEE and Treasury Notes. Valid Driver’s Licence and National Diploma in Supply Chain Management, Logistics Management/ Public Admin/ Public Management (NQF level 6 ) will be an added advantage.
Duties :
-
Warehouse management - Supervise receiving, storage and issuing of stock in accordance with approved procedures. Ensure accurate and timely processing of receipts according to accurate Unit of Measure (UOM) v/s Unit of Issues. Monitor labelling, packing and distribution processes. Ensure proper handling and storage of goods to prevent damage or loss. Ensure stock rotation according to FEFO / FIFO principles. Inventory control and compliance - Maintain accurate inventory records and ensure alignment between physical stock records ( Bin card / VA11A). Conduct mandatory Stock taking twice a year, quarterly spot checks. Investigate and report stock discrepancies, losses, damages. Ensure compliance with PFMA, Treasury Regulations and internal control measures. Staff supervision and performance management - Supervise warehouse personnel (PMDS, Mid-term, annual assessment) and allocate daily tasks. Monitor performance and ensure adherence to work schedules. Provide on the job training and guidance to staff. Enforce discipline, safety and operational standards.
Logistics coordination - Coordinate distribution and delivery schedules to end users. Liaise with internal stakeholders regarding stock availability and delivery timelines as per approved itinerary. Monitor turnaround times for physical stock issued and distribution. Safety, security and risk management - Ensure compliance with Occupational Health and Safety standards. Enforce access control and key control procedures within the warehouse. Identify and mitigate risks related to stock handling and storage. Report incidents, hazards and security breaches. Reporting and administration - compile weekly and monthly reports on stock movements. Maintain proper record keeping of all warehouse transactions ( issues and receipts) to compile accurate Theoretical recon report on monthly basis. Assist with audit queries and provide supporting documentation.
