A certificate/ Diploma in Office Management Assistant or relevant qualification and knowledge of Office Administrative system in a hospital setting will be an added advantage. A good understanding of administration rules and regulations. Computer literacy (MS Office). Good Verbal and written communication skills. Good interpersonal relations. Be presentable, self-driven with the ability to work independently in a team environment and under pressure. Must be able to handle a variety of tasks and meet deadlines. Be reliable, punctual and professional. Be creative and able to use own initiative. Knowledge of departmental policies and procedures. Problem solving, planning and organizing skills. Be able to handle office /hospital confidential information.
Duties :
-
Render a Secretariat Service in the office of the Nursing Service Manager. Provide administrative and receptionist duties, including management of Nursing Service Manager’s diary, attending telephonic calls prompt management of enquiries, typing, copying and scanning of documentation within the office. Prepare year planner and events. Ensure that the minutes and all correspondence are distributed timeously to all stakeholders. Collect data and compile monthly, quarterly and annual nursing reports. Maintain and ensure effective and professional communication between the office, internal and external stakeholders. Ensure office is equipped with necessary supplies. Attend and manage enquiries as soon as possible. Develop and implement effective and efficient filing system in line with the Departmental Record Management policy framework and the National Archives Act. Knowledge of Batho Pele principles and Ministerial priorities. Comply with the Performance Management and Development system (contracting, quarterly reviews and final assessment).

Candidates in possession of a foreign qualification will be required to furnish the Department with an evaluation certificate from the South African Qualifications Authority (SAQA). HR will conduct Personnel Suitability Checks (PSC) and Verification Checks. The Department reserves the right to conduct verification beyond information provided, where necessary. Failure to submit all the relevant information mentioned above with the exception of HR verification checks will result in the candidate being disqualified.
