Requirements :

Matric /Senior Certificate (Grade 12). Diploma NQF Level 6 / bachelor’s degree equivalent NQF level 07 qualification in Public Management/ Public Administration/Office management or any other related field. A minimum of 3 -5 years’ experience in executive support supplemented with good administrative skills; Knowledge and understanding of financial, provisioning and procurement prescripts and procedures. Minimum 5 years' experience in Supervisory/Managerial/ Office management and Executive Support at Assistant Director level. Experience working in the Information Communication & Technology Environment will be an added advantage. Competency in the use of computers (MS Office Suite, Excel, Word, PowerPoint). Knowledge and understanding of public service policies and procedures, Financial Management (Budget, Basic Accounting System (BAS), SCM procedures, PFMA, Treasury Regulations and other related Legislations. Extensive relevant office administration experience in a high-pressure environment. Report writing and document preparation. High level of confidentiality and professionalism. Ability to work independently and in a team. Knowledge of HR matters and provisioning administration. Good communication skills (Written& verbal) and Problem-solving and decision-making skills, Planning and organizational skills. Valid Driver’s license.
Duties :
-
Develop, implement and maintain systems, registers and databases to monitor and manage the flow of documents to, from and within the office of the CIO; Compile correspondence, submissions, letters as required; Review, edit and comment on submissions to be submitted to the executive authority for consideration; Assist with the procurement and administer the budget in the office of the CIO. Manage and coordinate Financial, Budgeting and SCM functioning in the office of the CIO. Verify and align budget letters. Compile Demand Plan (DP) and Procurement Plan (PP), Liaise with stakeholders and update them on needed information. Coordinate the preparation and consultation for the MTEF budget processes. Coordinate responses to financial information requests and oversight queries. Coordinate the preparation of financial reports, submissions and presentations. Assess and prioritize meeting requests in line with financial reporting cycles and oversight commitments. Liaise with internal and external stakeholders. Align the CIO’s schedule with critical financial deadlines, reporting cycles. Coordinate consolidation of financial and performance reports required by the CIO. Monitor submission of reports from ICT units relating to Budgeting, SCM and Expenditure. Support compliance with PFMA and Treasury Regulations. Develop and maintain a tracking system for commitments and deadlines. Process management and documentation of payments for ICT. Address unpaid queries from procurement. Vendor Management: Liaison with vendors for all SCM process requirements, Manage invoices, statements, and detailed billing and reconciliation. Supervise administrative staff reporting to the office.
