Grade 12 certificate or NQF Level 5. Microsoft: Outlook, PowerPoint and Word will be an added advantage. No criminal record or case pending against you. Knowledge and Skills: Language skills, ability to communicate well with people at different levels and from different backgrounds, good telephone etiquette, computer literacy, sound organizational skills, good people skills, high level of reliability, basic written communication skills, ability to act with tact and discretion, good grooming and presentation. Minute taking experience.
Duties :
-
Provide a secretarial support service. Record appointments and the events in the diary of the manager. Typing documents for the manager and other staff within the unit on a word processor. Operate office equipment like fax machine and photocopiers. Provide clerical support service to the manager. Liaise with travel agencies to make travel arrangements. Checks the arrangement when the relevant documents are received. Arrange meetings and events for the manager and the staff in the unit. Identifies venues, invites role players, organize refreshments and sets up schedules for meetings and events. Processes the travel and subsistence claims for the unit. Records basic minutes of the meetings of the manager where required. Drafts routine correspondence and reports. Filling of documents for the manager and units where required. Administers matters like leave registers, records and distributes all incoming and outgoing documents. Handle the procurement of standard items like stationary, refreshments, etc. collect all relevant documents to enable the manager to prepare for meetings. Remains up to date with regard to prescript/policies and procedures applicable to work terrain to ensure efficient and effect support to the manager.
